TABLE AND SPONSORSHIP TERMS & CONDITIONS
Before booking tables or sponsorship, please review the following terms and conditions. The Railway Ball, in support of Railway Children, is organised by Railway Children Ball Ltd. and managed by CL Events.
PACKAGES
Table package
Details of what your package includes can be found here: https://railwayball.co.uk/book-now/. NB: Tables seat 12 guests.
Sponsorship packages
Full details of what is included in the package will be outlined in a confirmation email. NB: Tables are not included in the package price.
PAYMENT
Purchase Orders
If your organisation provides a purchase order, please provide this before booking as the abovementioned cancellations charges will apply, should the booking be cancelled.
Invoice
An invoice will be sent within 2-3 days of booking.
Payment date
Payment must be made in full within 28 days or prior to the event date, whichever is sooner.
Early bird payments, if applicable, must be paid by the end of January, prior to the November Ball.
Payment
Full payment by BACS should be made to Railway Children Ball Limited in Pounds Sterling.

Cancellation of Table / Sponsorship
Notice of cancellation must be in writing to the Organisers, CL Events via enquiries@railwayball.co.uk
Refunds will be based on the following terms:
More than 9 months prior to the Ball Full refund
9 – 6 months prior to the Ball 50% refund
6 – 3 months prior to the Ball 25% refund
3 months or less prior to the Ball no refund
Cancellation of The Railway Ball
Railway Children Ball Ltd may cancel the booking without notice in the event of any security alert or emergency or any other reason or cause outside the control of Railway Children Ball Ltd. In the event of any booking being cancelled by the Railway Children Ball Ltd a full refund will be offered, but the Railway Children Ball Ltd shall not be liable or required to pay compensation for any loss sustained as a result of, or in any way arising out of, the cancellation of the booking.
Programme Changes
Unforeseen circumstances may arise resulting in changes to timings, programme and/or venue. Any such reasonable change to the event format will not constitute a reason to refund the event fees. To avoid disappointment, please visit our website regularly to keep up to date Your understanding in this matter is appreciated.
Date Change
In the very unlikely event that we need to change the date of the Ball, we will notify you as soon as possible and will offer you a full refund should this mean you are unable to attend. Railway Children Ball Ltd will not liable to pay any incurred costs, resulting from any postponement or cancellation.
DATA PROTECTION
Data we need
To process your booking, we will need to record the following information about your organisation:
Email address A named, business email address e.g. sarah.brown@abccompany.co.uk and not a generic email such as enquiries@abccompany.co.uk.
Contact details Name, job title, company, contact phone number, address, accounts/finance department contact details, PO number (if applicable).
Organisation name Please specify how you wish this to appear on your invoice and in event materials: e.g. table plan and website.
Guest details Guest names, email address. dietary and any special requirements will be requested nearer to the event to share with the hotel and for ticketing.
The data you provide will be held on a secure database in accordance with the General Data Protection Regulation and in accordance with our Privacy and Cookie Policy which can be viewed here railwayball.co.uk/privacy-policy/
Following your booking we may also contact you about relevant Railway Ball and Railway Children events, news, content, surveys and products (i.e. only products or services which we deem to be of ‘legitimate interest’. We may also get in touch to ask for your feedback on the event and for research purposes. You can unsubscribe from these communications, or update or change your details at any time by clicking on the link in the footer of the email or emailing: enquiries@railwayball.co.uk.
Photographs and filming
There will be a photographer or cameraman at the Ball. Any footage captured may be published online (on our website and external sites such as YouTube), on social media, and with our own database of contacts. Please email us on enquiries@railwayball.co.uk or speak to a member of staff on the night if you wish to be excluded from published materials.
